Choose what to delegate to Cowork

Explore scenarios that illustrate how Cowork takes on different types of work. Look for similar opportunities in your own day: tasks that involve multiple steps or span apps or information sources, situations where organizational context can improve the result, and work that you want to review and approve along the way.

Get better results with Cowork

Clear, specific instructions help Cowork deliver better results. In your prompts, include what you want to accomplish, the information and context Cowork needs to complete the task, any requirements it should follow, and the actions you want to approve. Consider these five elements when writing your prompt:

  1. Outcome: Describe what you want to accomplish in one sentence.
  2. Inputs: Identify the people, files, sites, time ranges, or other context Cowork should use.
  3. Final result: Define what Cowork should deliver or complete, such as sending an email, saving a document to OneDrive, or adding a meeting to your calendar.
  4. Constraints: Include any requirements or limits, such as don’t contact customers, keep it under one page, use the approved template.
  5. Approvals: Specify any actions you want to review and approve before Cowork proceeds.

Instead of:

“Help me prepare for my team retreat next week.”

Try:

“Prepare a briefing pack and draft agenda for the June 12 team retreat. (Outcome) Refer to the meeting invite, the three pre-reads attached to it, and emails about the retreat from the past two weeks. (Inputs) Save the briefing pack as a Word document to my OneDrive Team Retreat folder, and email the draft agenda to my direct reports for feedback. (Final result) Keep the briefing pack to one page and don’t include external attendees on the email. (Constraints) Default — review the email before sending.” (Approvals)

Where to find Cowork

Microsoft Copilot Cowork requires a Microsoft Copilot license and is available in Copilot tenants. IT administrators control who can access it and can deploy and pin it using standard Copilot governance tools.

Launch Cowork with your team

Learn how to identify starter scenarios, run working sessions, troubleshoot issues, and share examples that help teammates build confidence and make Cowork part of their everyday workflows. 

Build your strategy

Objective: Determine where Cowork can deliver meaningful value early and build trust with your team. Look for recurring, multi-step work that spans apps or information sources and draws on organizational context.

Roll out Cowork

  • Send the launch announcement. Use the launch email template to introduce Cowork and set expectations.

  • Host a working session to help teammates put what they learned into practice. Aim for each teammate to complete one task with Cowork during the session. 

Generate excitement

Objective: Build momentum by reinforcing what works and encouraging teammates to keep using Cowork.

  • Run a two-week Cowork challenge. Ask each teammate to delegate one recurring task and track the time saved and work completed. 
  • Spotlight real outputs during a team meeting or in a team channel. 
  • Continue to coach teammates on effective prompting.

Share success and gather feedback

Objective: Capture what’s working, learn where teammates need more support, and share early successes with your team and leaders.

  • Track measurable results, such as task completion or time saved. 
  • Collect two or three concrete success stories. Document what worked and why. For standout stories, use the template to share them with your network on Viva Engage and LinkedIn.

Lead Cowork adoption across your organization 

As an AI Leader, your role is to set the direction and create the conditions for teams to use Cowork effectively.

Rethink how work gets done 

  • Delegation, not prompting: With Cowork, users can define what they want to accomplish and delegate tasks without having to manage them through individual prompts.
  • Task continuity: Users can also delegate multi-step work such as pipeline reviews, onboarding, and account research while Cowork maintains context across steps and sessions.
  • Organizational context: Work IQ, the intelligence layer, connects Cowork to relevant files, people, and work patterns, helping users get results that reflect the context of their work.

Prepare your organization for Cowork adoption 

Before expanding Cowork across your organization, consider how it fits within your existing governance, budget, tools, and AI strategy.

  • Build on existing governance: Cowork works within your existing Microsoft 365 security and compliance controls, including permissions, sensitivity labels, and audit settings. Users can preview actions, see their risk level, and pause or stop work at any point.
  • Plan for usage costs: A Microsoft 365 Copilot license is required to use Cowork. Usage is billed through Copilot Credits, with prepaid and pay-as-you-go options. Work with IT and finance to plan budgets and monitor usage as adoption grows.
  • Consider model choice and control: Cowork supports multiple AI models and automatically selects the appropriate model for each task to help optimize performance and cost. Users can choose a specific model family when needed, while admins can manage model availability across the organization.
  • Connect to existing tools: Partner plugins extend Cowork beyond Microsoft 365 to tools such as monday.com, Miro, and Harvey, allowing users to delegate work across more of the tools they already use.

Key adoption decisions 

Adopting Cowork successfully depends on a few strategic decisions about where to focus, how to govern use, and what resources you’ll need.

Decide where to start

Partner with your AI Council and other stakeholders to identify the roles and teams where Cowork can deliver the highest ROI. Start with a focused group, measure the impact, and use what you learn to inform broader adoption.

Involve IT and security early

Confirm access, policies, and governance with IT and security teams before enabling Cowork.

Set expectations for autonomy

Collaborate with your AI Council to determine what kinds of tasks are appropriate to delegate to Cowork, what guardrails should apply, and how you’ll evaluate results.

Align on budget and enablement

Cowork usage is billed through Copilot Credits. Work with IT and finance to plan for costs, determine who needs access, and monitor usage as adoption grows.

Put your leadership into action 

How you lead can shape how teams adopt and use Cowork across your organization. 

  1. Demonstrate: Use Cowork yourself. Choose a relevant scenario, delegate the work from start to finish, and share what you learned.
  2. Lead:  Identify one to three priority scenarios for your organization and work with your AI Council to define what success looks like. Strong starting points might include customer preparation, pipeline and sales workflows, and inbox and calendar management.
  3. Reinforce: Share the launch announcement with your organization, highlighting your priority scenarios. Continue reinforcing adoption by asking teams where they’re using Cowork and sharing examples of what’s working well.
  4. Measure: Determine a few meaningful signals to track, such as how many people use Cowork and the kinds of work they delegate. Establish a baseline and review progress regularly against the success measures defined with your AI Council.

Deploy and manage Cowork in your organization

As an IT administrator, you’re responsible for preparing your environment, managing access and costs, establishing governance, and helping your organization adopt Cowork safely.

  • Prepare your tenant.
  • Enable secure access.
  • Configure cost controls.

How Cowork fits into your existing Microsoft 365 environment

You don’t need to create a separate security model for Cowork. It works within your existing Microsoft 365 environment and acts on behalf of the user, following the permissions, sensitivity labels, and policies you already manage.

  • Permissions: Cowork can only see what the user can see. Access to SharePoint, OneDrive, Teams, Exchange mailboxes, and Microsoft Graph data follows existing user permissions.
  • Policy enforcement: Sensitive actions—such as sending, sharing, posting, and scheduling—pause for user confirmation before they run and follow the same tenant policies as other user actions.
  • Purview coverage: Cowork prompts, responses, and generated artifacts are governed, audited, and discoverable through the same Microsoft Purview controls your team already uses for Copilot.

Set up Cowork access

To use Cowork, your organization needs a Microsoft 365 Copilot license and credit-based billing. Once those requirements are in place, you can choose who has access to Cowork and make it available to eligible users.

Getting started:

  • Assign Microsoft 365 Copilot licenses to your target users.
  • Verify that credit-based billing is enabled for your tenant.
  • Decide whether to grant access to everyone or specific groups.
  • Turn on the discovery setting so eligible users can find Cowork in Copilot.

Tip: Work with your AI lead and finance partner to define the scope of your rollout. Use the cost estimator to estimate credit usage and plan your budget.

Supported AI models

With support for multiple AI models, Cowork automatically selects the most appropriate model for each step of a task, helping users get better results without interrupting their workflow.

Anthropic models require tenant-level enablement. If your organization plans to use them with Cowork, verify that they’re enabled in your tenant. Learn more about managing Anthropic models.

Security, privacy, and trustworthy AI

The same commitments and controls that help protect your data in Microsoft 365 apply to Cowork:

 A New Model for AI Spend: How Cowork Pricing Works

Funding variable AI work is a new discipline for most finance organizations, and adoption is accelerating. The FinOps Foundation reports that 98% of organizations now manage AI spend, up from 31% two years prior, and that AI cost management is the top skill their teams need to develop.

As a finance leader, you already fund Microsoft 365 Copilot. Cowork is your next decision. That changes what you fund and how it’s priced, moving from a fixed per-seat license to a variable investment that scales with the work you run. Funding Cowork becomes a capital-allocation decision about which work earns the investment.

How Cowork reshapes work across your business

It executes multi-step work across Microsoft 365, completing workflows that coordinate across tools, data, and teams. A team assigns an outcome, and Cowork operates across Microsoft 365 connected systems and your business data, and returns a completed result. 

Examples include:

  • Pipeline reviews that pull inputs, surface risk, and produce a leadership-ready summary. 
  • Onboarding processes that coordinate tasks across systems and timelines. 
  • Planning workflows that collect inputs from across teams and deliver a final, review-ready output. 

How Cowork pricing changes your cost model

Microsoft 365 Copilot licensing remains the foundation. Cowork introduces usage-based spend through Copilot Credits. Credit spend varies based on the volume and complexity of workflows run through Cowork, giving you a more direct connection between spend and operational activity. Business units of similar size can show different spend patterns based on how they use Cowork. 

A workflow’s cost scales with its complexity, the systems and data it touches, and the actions it takes. Heavier reasoning and higher-quality outputs draw on more capable models and cost more.

Cowork is metered in Copilot Credits, a single pooled currency controlled at the tenant level. Cost scales with the work performed. This gives you direct control over where AI investment goes and what it returns. Credits are funded two ways, and most organizations use both. 

AI spend becomes a managed investment that scales with results. Capacity can be allocated, capped, and redirected. Budgets and limits are set centrally, keeping consumption visible and controlled.

Governing Cowork spend

Budget setting and guardrails 

Cowork spend aligns to usage and is managed in the Microsoft 365 admin center. That shifts budgeting from headcount to workflows. Investment is defined by business scenarios, allocated capacity, and how usage is allowed to expand.

You set budget, prioritization, and guardrails at the executive level. Those decisions are implemented through group-level access, credit allocation, and billing policies that control Cowork use. Budgets, limits, and alerts enforce those decisions.  Manage and adjust spend with metered usage and real time visibility.

Visibility into usage across teams 

Cowork usage is visible across the organization at the enterprise, business unit, and user level. This provides a clear view of consumption and how it evolves over time. Because usage is metered and observable, spend can be traced to the team or user. This ties cost to actual usage.

At the leadership level, it shows where investment is concentrated, how spend aligns to teams and priorities, and where spend may expand.
