Responsible AI starts with
clear guardrails

Before you scale, make sure the right guardrails are in place. Early in a rollout, it’s easier to closely monitor each workflow, but as the initiative grows, that level of oversight becomes harder to maintain.

Clear guardrails create consistency as you expand. They establish what AI can access, what requires human review, what standards the work needs to meet, and what could trigger a pause. With those guardrails in place, teams can scale more efficiently and with greater confidence.

Decide where you need guardrails

As an AI leader, you don’t need to become an expert in every part of AI governance. IT, security, and compliance teams own technical areas such as data classification, access controls, security settings, and retention policies. Your role is to provide the business context they need.

Work with the appropriate partners before scaling to answer four questions:

  • What can AI-assisted work access? Decide which categories of business data are appropriate for the workflows you’re scaling and where restrictions are needed.
  • What still requires human review? Determine which outputs need someone to review them before they’re used, shared, or acted on.
  • What quality standards should the work meet? Define what employees need to check for when reviewing AI-assisted output.
  • What should trigger a pause? Identify the signals that indicate a workflow needs to pause while the appropriate owners investigate.

Establish four key guardrails

Involve your governance partners early

Scaling AI requires both business decisions and technical controls. Bring IT, security, compliance, and other relevant partners into the conversation while you’re deciding how your AI initiative will scale.

Share what the workflows are designed to do, what data they need, how their outputs will be used, and where you’ve identified a need for human review or other restrictions. Your governance partners can then identify relevant requirements and determine which technical controls or policies are needed.

Involve them before you expand the workflows to more teams. It’s easier to address a security or compliance requirement before rollout than to redesign a workflow after people are already using it.

Check your readiness to scale

Before you expand your AI initiative, make sure you’ve addressed these questions:

  • Have IT and security reviewed the permissions the workflows rely on?
  • Does every agent have a named owner and appropriate permissions?
  • Which outputs require human review, and what does the reviewer need to check?
  • Which categories of data are in scope, and which aren’t?
  • What signals would trigger a pause, and who has authority to act?
  • Have the appropriate IT, security, compliance, and business stakeholders reviewed the guardrails?

Example

Guardrails for a sales team

A sales team is ready to expand three successful AI-assisted workflows across the organization. Before scaling, the team decides that customer contract data is in scope, but pricing and personnel data aren’t. IT reviews the permissions used by the workflows and finds two overshared folders, which the team corrects.

Each of the team’s four agents has a named owner and defined permissions. Deal owners review customer-facing proposals for pricing and contract accuracy before they’re shared. The team also agrees to pause a workflow if two proposals in one month contain errors, with the workflow owner responsible for escalating the issue for review.

With those guardrails in place, the team has clear boundaries for expanding AI use: what the workflows can access, who’s accountable for them, what requires review, and when to pause.

Set up your guardrails

Good guardrails don’t slow scaling. They give people clear boundaries for moving forward as more workflows, users, and agents become part of your AI initiative.
